These Terms & Conditions govern travel planning and booking services provided by Laidback Luxury Escapes | LLE (“LLE,” “we,” “us,” or “our”). By engaging LLE, approving a travel proposal, signing an agreement or payment authorization, or authorizing LLE to arrange travel on your behalf, you acknowledge and agree to these Terms.

1. Our Role As Your Travel Advisor

Laidback Luxury Escapes | LLE is an independently owned travel business and independent contractor affiliated with WorldVia Travel Network.

LLE assists travelers with researching, planning, coordinating, and booking travel. Travel services are provided by independent third-party suppliers, which may include airlines, hotels, resorts, cruise lines, tour operators, transportation companies, excursion providers, travel insurance providers, and other travel-service companies (“Suppliers”).

LLE does not own, operate, manage, or control these Suppliers. Supplier services are subject to their respective terms, conditions, policies, availability, and operating decisions.

2. Pricing, Availability & Errors

Travel prices, promotions, amenities, and availability may change without notice until a reservation is confirmed and the required payment has been processed by the applicable Supplier.

A proposal or quote does not guarantee availability or price.

LLE reserves the right to correct typographical, calculation, description, or pricing errors. If a Supplier changes or corrects a price before confirmation, you will be informed before proceeding whenever reasonably possible.

3. Professional Fees

LLE may charge professional planning, consultation, concierge, group-management, change, cancellation, or other service fees depending upon the services requested.

Any applicable LLE fee will be disclosed before the applicable service begins.

LLE professional fees compensate LLE for our time, research, expertise, planning, coordination, and administrative services and are separate from amounts charged by travel Suppliers.

Unless otherwise stated in writing, professional fees become non-refundable once the applicable professional service has begun.

4. Credit Card & Payment Authorization

When you authorize LLE to book travel, you may be asked to securely submit payment-card information through LLE's designated WorldVia travel-advisor/client-management system.

Submitting the secure authorization form does not, by itself, charge your payment card.

Instead, the form securely provides payment information and documents your authorization for LLE to use that information for the specific transaction you approve.

By digitally signing a payment authorization, you represent that you are the cardholder or otherwise legally authorized to use the payment method and authorize LLE to provide or enter the necessary payment information with the applicable Supplier for the authorized transaction.

5. How Supplier Payments Work

Unless expressly stated otherwise, LLE does not collect the cost of your vacation into an LLE-controlled account and then pay the Supplier.

After receiving your authorization, LLE submits the authorized payment information to the applicable Supplier on your behalf. The Supplier processes the travel charge directly to your payment method.

Your statement may therefore identify the hotel, resort, airline, cruise line, tour operator, vacation-package company, or another Supplier rather than Laidback Luxury Escapes.

6. Multiple Supplier Charges

A trip involving multiple Suppliers may result in multiple separate transactions on your payment-card statement.

For example, airfare, accommodations, transportation, excursions, or other components may be charged separately.

Separate Supplier transactions that collectively correspond to your authorized travel arrangements should not automatically be considered duplicate charges.

7. Payment Plans & Future Payments

Providing payment information to LLE does not constitute unlimited or blanket authorization for future transactions.

When a reservation requires additional installments or a final payment, LLE will obtain authorization before submitting each subsequent payment to the applicable Supplier.

Each authorization applies to the transaction identified in that authorization.

Failure to provide authorization by a Supplier's payment deadline may result in cancellation, penalties, loss of deposit, or other consequences imposed by the Supplier.

8. Deposits & Final Payment

Supplier deposits and payment deadlines are firm.

Clients are responsible for providing required information and payment authorization in sufficient time for LLE to process the request before the Supplier deadline.

LLE is not responsible for a reservation canceled or changed because authorization, information, or payment was not provided in time.

9. Cancellations, Changes & Refunds

Cancellation and change requests must be submitted to LLE in writing.

Suppliers determine their respective cancellation, change, credit, and refund policies.

Depending upon the reservation and timing, cancellation or modification may result in loss of deposit, cancellation penalties, change fees, fare differences, non-refundable charges, or forfeiture of amounts previously paid.

When a Supplier processes the original travel payment, an approved refund will generally be returned by that Supplier to the original payment method.

LLE cannot guarantee Supplier refund approval or processing time.

LLE professional fees are separate from Supplier payments and refunds.

10. Independently Booked Travel

LLE is not responsible for reservations, transportation, accommodations, excursions, insurance, or other services arranged independently by the traveler and not booked through LLE.

If independently booked travel is delayed, changed, or canceled and affects an LLE-arranged component, LLE cannot guarantee that the affected Supplier will provide a refund, modification, or accommodation.

LLE is also not responsible for servicing reservations made independently through loyalty points, rewards programs, or other third parties unless LLE expressly agrees otherwise.

11. Travel Documents & Identification

Travelers are responsible for obtaining and carrying all documents required for their trip, including applicable passports, visas, government-issued identification, entry authorizations, health documentation, and other required documents.

Traveler names and other identifying information provided to LLE must accurately match the identification the traveler will use.

Domestic travelers are responsible for meeting current TSA identification requirements, including REAL ID requirements where applicable.

International travelers are responsible for ensuring that passports satisfy destination-specific validity requirements and obtaining any required visas or entry authorizations.

Government requirements may change after booking.

12. Minors

Children and infants may require passports, birth certificates, visas, parental consent documentation, or other travel documents.

A minor traveling without both parents or legal guardians may be subject to additional documentation requirements.

The responsible adult is responsible for determining and obtaining all documents required for the minor's itinerary.

13. Individual Entry & Exit Eligibility

Each destination establishes its own admission and exit requirements.

A traveler's individual circumstances may affect eligibility to enter or transit through a destination.

LLE does not determine a traveler's legal admissibility into another jurisdiction. Travelers with questions regarding their individual eligibility should consult the appropriate embassy, consulate, government agency, or qualified professional before booking.

14. Health Requirements

Travelers are responsible for determining and satisfying applicable health, vaccination, testing, medication, or documentation requirements for their destinations.

Health and entry requirements can change.

Travelers with individual medical questions should consult an appropriate healthcare professional.

15. Travel Safety & Destination Conditions

Travel involves inherent risks, and conditions at destinations can change.

Travelers are encouraged to review current government travel advisories, destination requirements, weather conditions, and other relevant information before and during travel.

LLE may provide general information as a convenience but cannot guarantee the safety, security, political stability, weather, health conditions, or other conditions of a destination.

16. Travel Insurance

LLE strongly recommends considering appropriate travel insurance.

Depending upon the policy purchased, insurance may provide coverage for certain eligible events involving cancellation, interruption, delays, medical emergencies, baggage, or other travel-related losses.

Coverage, exclusions, eligibility, benefits, and claims are determined by the insurance provider and policy.

LLE does not determine whether an insurance claim will be approved and does not guarantee coverage.

If you decline offered travel insurance, LLE may request written acknowledgment of that decision.

17. Supplier Changes & Events Outside LLE'S Control

Suppliers may modify schedules, routes, accommodations, amenities, transportation, itineraries, or other travel components.

Travel may also be affected by weather, natural disasters, strikes, government actions, civil unrest, health emergencies, transportation disruptions, or other circumstances outside LLE's reasonable control.

LLE will make reasonable efforts to assist affected clients but cannot require an independent Supplier to issue a refund, credit, modification, or other remedy.

18. Review Your Travel Documents

Clients are responsible for promptly reviewing proposals, invoices, confirmations, itineraries, names, dates, destinations, room categories, flights, and other travel documents.

Please notify LLE of an error as soon as possible, preferably within 24 hours of receiving the applicable confirmation or travel document.

Corrections requested after Supplier deadlines or ticketing may result in fees or additional costs.

19. Baggage & Prohibited Items

Travelers are responsible for complying with applicable Supplier and government rules concerning baggage, restricted items, hazardous materials, and prohibited items.

Rules vary by transportation provider and destination and may change.

20. Payment Disputes & Chargebacks

LLE maintains documentation relating to client-authorized travel transactions.

Travelers retain rights provided by applicable law and their cardholder agreements.

If you believe a charge is incorrect, duplicated, unauthorized, or otherwise problematic, please contact LLE promptly so we can assist in identifying the transaction and applicable Supplier.

If a payment dispute or chargeback occurs concerning a transaction authorized through LLE, LLE may provide relevant documentation to the Supplier, payment processor, financial institution, card issuer, or other authorized party. Documentation may include signed or digitally signed payment authorizations, reservation information, amounts authorized, booking confirmations, transaction records, and relevant communications.

Nothing in these Terms waives a consumer right that cannot lawfully be waived.

21. Group Travel

Group travel may be subject to additional agreements and Supplier terms governing room blocks, minimum participation, deposits, payment schedules, traveler substitutions, cancellations, attrition, group amenities, and other requirements.

LLE may establish separate professional or group-management fees for group travel.

Applicable group-specific requirements will be provided separately.

22. Privacy & Payment Security

Personal information is handled as described in LLE's Privacy Policy.

Sensitive payment information should only be provided through the secure method designated by LLE.

Do not send complete payment-card information through ordinary email, text message, social-media direct message, or LLE's general website inquiry form.

Card-verification codes are sensitive authentication data and may not be stored after authorization under PCI DSS requirements. PCI Security Standards Council
